Terms of Service

Effective date: 16 August 2026

These Terms of Service govern access to and use of the Instant Payslip website, payslip generator, retrieval system, payroll reports, employee-contract services, invoices, WhatsApp communications and related services.

By using the website, submitting information, creating an order or making payment, you confirm that you have read and accepted these Terms of Service.

2. Services provided

Instant Payslip provides online tools that may allow users to:

  • Create, calculate, preview, pay for, download and retrieve payslips.
  • Generate payroll, tax and compliance-related reports from information supplied by users.
  • Create employee contracts and facilitate electronic-signature processes.
  • Receive invoices, payment confirmations, reminders, access links and customer-support communications.
  • Send and receive authorised communications through WhatsApp and other supported channels.

The particular services, functionality, prices and delivery options available at any time are those displayed on the website during the relevant transaction.

3. Eligibility and authority

You must have legal capacity to enter into an agreement or must act with the authority of a person or organisation that has such capacity.

Where you submit information about an employee, contractor, employer, company or another individual, you confirm that:

  • You are authorised to provide and use that information.
  • You have a lawful basis for processing the information.
  • The information is being used for a legitimate employment, payroll, contractual or administrative purpose.
  • You will not use the service to impersonate another person, commit fraud or create a misleading document.

4. Accuracy of information

You are responsible for ensuring that all information entered into the service is complete and accurate, including names, identification numbers, employment details, earnings, deductions, contact details, employer information and selected payroll periods.

You must review the free preview and correct any errors before saving, paying for or distributing a final document. Instant Payslip is not responsible for an incorrect output caused by inaccurate, incomplete or misleading information supplied by a user.

5. Payroll and tax calculations

Payroll, PAYE, UIF and related calculations are generated using the information provided by the user and the calculation rules configured in the service.

Although reasonable efforts are made to maintain accurate calculations, users remain responsible for reviewing the results and determining whether they are appropriate for their particular employment, payroll, accounting and tax circumstances.

The service does not replace personalised advice from an accountant, tax practitioner, labour-law practitioner or other qualified professional. Users remain responsible for statutory submissions, registrations, declarations and payments to SARS or any other authority.

Payroll, tax and compliance-related reports generated by the service are preparation aids based on information captured by users and are not official SARS submissions or filings.

6. Prices and payments

Prices are displayed in South African rand and may be changed for future transactions. The price shown before payment is the price applicable to that transaction.

Payments may be processed by PayFast or another authorised payment provider. Payment is considered complete only after the payment provider or Instant Payslip confirms successful payment.

You authorise the relevant payment provider to process the transaction information required to complete your purchase. Instant Payslip does not intend to store full payment-card details.

7. Delivery and access

Paid documents may be made available through secure download, retrieval access, email, WhatsApp or another delivery method displayed on the website.

You are responsible for:

  • Providing a correct email address and cellphone or WhatsApp number.
  • Protecting login credentials, trusted devices and secure access links.
  • Ensuring that documents are sent only to authorised recipients.
  • Downloading and keeping any records you are legally or operationally required to retain.

Delivery may be delayed by network failures, incorrect contact details, third-party platform interruptions, payment delays, security checks or circumstances beyond our reasonable control.

8. Refunds and corrections

Because payslips, contracts and payroll documents are generated using information selected or supplied by the customer, refund requests will be assessed according to the circumstances of the transaction and applicable law.

Please contact us promptly where:

  • You were charged more than once for the same transaction.
  • Payment succeeded but the paid service was not supplied.
  • A technical fault in the Instant Payslip system produced a result materially different from the confirmed preview or saved information.
  • You believe that you have another right to a refund, repair or remedy under applicable consumer law.

A change of mind, an error in information supplied by the user or a failure to review the preview does not automatically establish a right to a refund. Nothing in these terms removes any consumer right or remedy that cannot lawfully be excluded.

9. Employee contracts and electronic signatures

Employee-contract tools assist users in preparing and signing documents electronically. The employer and employee remain responsible for reading the complete contract, confirming that its contents reflect their agreement and obtaining professional advice where necessary.

An electronic-signature record may include consent confirmations, identity information, timestamps, device or technical information, document versions and an audit trail.

Instant Payslip does not guarantee that a particular contract term is suitable or enforceable in every employment situation. Mandatory rights under employment and consumer law are not excluded by these terms.

10. WhatsApp communications

By supplying a WhatsApp number and requesting or using a WhatsApp-enabled service, you authorise service-related communications to that number. These may include document notifications, secure access links, reminders, delivery confirmations and responses to customer messages.

WhatsApp and Meta are independent third-party platforms and may process communications and related metadata under their own terms and privacy policies. Instant Payslip cannot guarantee uninterrupted availability of third-party communication services.

You may request that non-essential WhatsApp communications stop by contacting us. Transactional, security or legally required communications may still be sent where reasonably necessary.

11. Acceptable use

You may not use Instant Payslip to:

  • Create fraudulent, false, deceptive or unauthorised documents.
  • Misrepresent employment, income, deductions, identity or company information.
  • Gain unauthorised access to another user’s documents, profile or communications.
  • Upload, transmit or distribute unlawful, harmful or malicious material.
  • Interfere with the website, circumvent security controls or probe the system for vulnerabilities.
  • Copy, reverse engineer, scrape, reproduce or commercially exploit the software or website without written permission.
  • Use the service in violation of any applicable law or the rights of another person.

Access may be suspended or terminated where we reasonably suspect fraud, abuse, unauthorised access, non-payment, security risk or unlawful activity.

12. Accounts, retrieval and trusted devices

Some services use an identity or passport number together with a cellphone or WhatsApp number, secure access token or remembered device to control access.

You must keep these credentials confidential and must notify us promptly if a device, access link or credential may have been compromised. We may apply rate limits, temporary blocks, session expiry, device revocation and other safeguards to protect users and documents.

13. Intellectual property

The website, software, calculations, workflows, page designs, branding, templates and underlying source code are owned by or licensed to Instant Payslip and are protected by applicable intellectual-property laws.

Payment for a document gives the authorised customer the right to use and retain that generated document for its intended employment, payroll, contractual or administrative purpose. It does not transfer ownership of the Instant Payslip software, templates or source code.

14. Third-party services

The service may depend on third parties such as hosting providers, payment processors, Meta, WhatsApp, email providers and internet-service providers.

Instant Payslip is not responsible for a third party’s independent acts, policies, outages or service restrictions. Where reasonably possible, we will attempt to restore or provide an alternative method of access to an affected Instant Payslip service.

15. Availability and changes

We may update, improve, suspend or discontinue a feature where reasonably necessary for maintenance, security, legal compliance or operational requirements.

Reasonable efforts are made to keep the service available, but continuous or error-free operation is not guaranteed. Planned or emergency maintenance may temporarily affect access.

16. Limitation of liability

To the fullest extent permitted by law, Instant Payslip will not be liable for indirect, incidental or consequential loss arising solely from:

  • Incorrect or incomplete information supplied by a user.
  • A user’s failure to review a document before using or distributing it.
  • Unauthorised sharing of credentials, documents or access links by a user.
  • A third-party network, payment, WhatsApp, email or hosting interruption outside our reasonable control.
  • Use of a generated document for an unlawful, misleading or unintended purpose.

Nothing in these terms excludes or limits liability, rights or remedies where exclusion or limitation is prohibited by law, including liability arising from gross negligence or intentional misconduct where applicable.

18. Complaints and disputes

Nothing in these terms prevents a consumer or data subject from approaching a competent regulator, ombud, tribunal or court where permitted by law.

19. Governing law

These terms are governed by the laws of the Republic of South Africa. Any dispute will be dealt with by a court or other body having lawful jurisdiction, subject to any mandatory consumer right regarding jurisdiction or dispute resolution.

20. General provisions

If any provision of these terms is found to be invalid or unenforceable, the remaining provisions will continue to apply.

A failure or delay in enforcing a provision does not amount to a waiver of that provision.

We may update these Terms of Service when the services, legal requirements or business practices change. Updated terms will be published on this page with a revised effective date.
